Privacy policy

WeBill is bilti and lorry receipt software for transport companies. In this policy, “we” means WeBill. This page says what we collect when you use WeBill, why, and what you can ask of us.
What you give us
- Your account. An owner's name, email address and password. We store the password only as a one-way hash and cannot read it. If you sign in with Google, we store the identifier Google gives us for your account, and nothing else from Google.
- Your staff's logins. The login ID, display name and hashed password of each member you create, and the branches you let them work at.
- Your company. The letterhead details you enter: name, address, phone, email, GSTIN, terms, GST declaration and logo.
- Your bilties. Everything on each lorry receipt: consignor, consignee, addresses, goods, vehicle number, freight and payment details, and the lists of parties you save.
Bilties name other people and businesses. You are responsible for having the right to enter their details.
What is recorded automatically
- Your IP address, to limit repeated sign-in attempts and protect accounts.
- Error reports from our servers and from your browser, which can include the address of the page involved.
Cookies
WeBill sets only the cookies that keep you signed in. We use no advertising cookies and no analytics cookies.
What we use it for
- To run the service: issue, print, store and list your bilties.
- To send account emails: confirming your address and resetting your password.
- To keep the service secure and working.
We do not sell your data, and we do not use it for advertising.
Who processes it for us
- Cloudflare R2 stores issued documents, logos and database backups.
- Resend delivers account emails.
- Google signs you in, if you choose Continue with Google.
- Sentry receives error reports.
- Our hosting provider runs the servers the application and its database are on.
Who can see your records
Each company's records are kept apart from every other company's. They are visible only to the logins that company creates, and an owner can limit a staff login to particular branches. Our own access is limited to what running and supporting the service requires.
How long we keep it
We keep your account and your records for as long as your account is open. An issued bilti is a legal document: it is kept, with every amendment made to it, and is not deleted when it is cancelled. Backups are taken daily.

What you can ask of us
You can correct your company and account details in Settings. You can ask us for a copy of the personal data we hold about you, to correct it, or to close your account. We will answer within a reasonable time.
Changes to this page
When this policy changes, the date at the top changes with it. If a change matters to how your data is used, we will tell account owners by email before it takes effect.
